Step One - Pay your deposit

If you have paid your deposit and booked your hotel, please skip to step 3. If you haven’t paid a deposit, full payment is due, and you can pay here.

Our cancellation policy is as follows.

  1. Full refunds, less a cancellation fee of £50, until 27th March 2026.

  2. After March 27, since we will have paid a non-refundable deposit to various venues, refunds will be determined once a full accounting is done after the event. We must all share the burden of the non-refundable deposit.

Step Two - Book your hotel

We have negotiated a special guest rate of £274.00 per night, which includes the new city tax of £11.04 per night. To get this rate, you need to apply the promotional code VTG2409 before you start to book. For the avoidance of doubt, you need to use this as a promotional code and NOT a voucher code.

  • The booking link above will give you the screen in the first picture.

  • Click the dropdown box that says “best available rate”, change the settings to match those shown in the second picture. Click the search button.

  • If you want double occupancy, the rate of £294 will show (for the additional breakfast, since it is included in the rate)

  • If you will be in the room alone, change the box to say 1 room 1 adult.

  • Your screen should then look like the third screen, showing a rate per night of £274.00 as in the third picture.

  • The special rate is only available for the dates of the event. Should you want to book additional nights, you will need to book these separately.

Step Three - Pay the final balance by 13th June 2026

The cost of the event in 2026 is £450. For those who have paid a deposit the final payment of £200 is now due. Go to our store page and pay your Guardians of the Flame final payment.
